How do we use your data?

1.1 When you enquire about services offered by Sync Savings. When you make an enquiry with us, we collect your name, email address, areas of interest, job title and company as well as any additional information you provide to us during our relationship. We collect these details to answer your query. Upon signup you agree to being contacted by our team members to progress a commercial relationship and to invite you to events and share updates.  You can opt out of any of these communications at any time. 

1.2 When you sign up for products and services offered by Sync Savings we collect your personal information including your name, contact details, date of birth, salary amount, bank account details and savings goal this allows us to open a savings account on your behalf with our Partner Bank. You can amend or change your personal details at any time. You can access more information including the relevant Partner Bank’s Privacy Notice in your Product Terms and Conditions which can be found in your savings portal. 

1.3 When you attend one of our events (in person or virtually) or a third party event. When you attend one of our events or a third party event, we may collect your personal information including your name, address, email address and phone number, job title and company as well as any additional information you provide to us. We collect this information because it’s in our legitimate interests to know who’s attending our events and to help promote our business at third party events.

Where you attend one of our events we may take pictures or videos of you. We do this as we have a legitimate interest to promote our business. You can opt out of having your photo taken in this way both when you attend our events and at any time by contacting us at support@sync-savings.com.

1.4 When you contact us. When you contact us either by phone, email or social media with general queries, we will usually collect your name, social media handle and contact details, because it’s in our legitimate interest to make sure we can properly respond to your query.

1.5 When you receive our email updates. We will handle your personal information (such as your name and email address) to provide you with our news updates in line with any preferences you have told us about.
When we send you our e-mail updates because you have opted-in to receive them, we rely on your consent to contact you. If you have not opted-in and we send you our news updates emails, we do this because of our legitimate interest to promote our business.

1.5 Technical information when you use our Platform. When you consent, we collect information about how you use our Platform. We use this information to improve our Platform and to better understand how people use it. More detail on the information we collect and how we do this is set out in our cookie policy.

1.6 When you apply for a job with us. When you enter into the recruitment process with us we may collect your name, contact details, recruitment information (e.g. right to work documentation and references), qualifications, accreditations, test results (inc. psychometric and coding) and any additional information we may receive from our recruitment partners.

We will use your personal information to assess your suitability for our available roles. We do this to perform a contract or to take steps at your request, before entering into a contract. Where we process your right to work documentation, we will do so to comply with our legal obligations.

1.7 If our business is sold. We process your personal information for this purpose because we have a legitimate interest to ensure our business can be continued by the buyer. If you object to our use of your personal information in this way, the buyer of our business may not be able to provide services to you.


Who do we share your data with?

2.1 Business partners (including Partner Banks), suppliers and subcontractors for the performance of the contract we enter into with them or you and for the purposes of improving and providing our products and services to you.

This includes: 

  • Partner banks, credit unions and building societies who provide your savings account. These partners act as independent data controllers for the accounts they provide, and will have their own privacy notices explaining how they use your data.

  • Your employer and/or their payroll provider, so that payroll deductions can be set up, adjusted and cancelled, and to help us reconcile contributions into your savings account.

  • Payment service providers who process deposits, withdrawals and any other payments to or from your savings account.

  • Identity verification, anti‑money laundering (AML), sanctions screening, fraud and transaction monitoring providers who help us meet our legal and regulatory obligations.

  • Technology and cloud hosting providers (for example, to store our data and run our systems), and other software providers we use to run our business (such as customer support, analytics, and communication tools).

Where we use suppliers to process personal data on our behalf, they act as our data processors. We only use processors who meet appropriate security and privacy standards, we have written contracts in place with them, and they are only allowed to use your data in line with our instructions.

2.2 Promotional events and marketing organisations, on relevant occasions. We do not sell data for marketing purposes,
but may share your data with an event organiser including where we run workshops with co-presenters. We will always tell you before (usually on the event registration form) and you will be given the chance to opt-out before we do this.

2.3 Regulators/ Authorities / Enforcement Agencies if we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use and other agreements; or to protect the rights, property, or safety of our clients or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection.

2.4 Credit reference, fraud prevention and screening agencies. Where required, we may share your personal data (such as your name, address, date of birth and information about your account) with credit reference and fraud prevention agencies. We do this to check your identity, prevent and detect financial crime, and meet our regulatory obligations. These agencies may share that information with other organisations who use their services. 2.5 Prospective buyers of our business under our legitimate interest to ensure our business can be continued by the buyer. If any such change happens, the new owner will only be allowed to use your personal data in the same way as set out in this notice.

Where is my data stored?

3.1 We store your data on the cloud with Amazon Web Services and Google Cloud on their servers based in their Europe Region.
Whenever we transfer your personal information outside of the UK and the EU, we ensure it receives additional protection as required by law. To keep this privacy policy as short and easy to understand as possible, we haven’t set out the specific circumstances when each of these protection measures are used. How long do we keep your data for?

4.1 We will only retain your personal information for as long as we need it unless we are required to keep it for longer to comply with our legal, accounting or regulatory requirements.

4.2 For customers using Sync Savings products, we usually keep your core account data (for example your contact details, salary deduction information and records of deposits and withdrawals) for up to six years after your savings account is closed or after the last transaction on the account. We do this to comply with our legal and tax obligations and to be able to answer questions or queries about your account.

4.3 Information we hold to meet our anti‑money laundering and financial crime obligations is typically kept for at least five years after our relationship with you ends or after an occasional transaction, as required by law.

4.4 If you make a complaint or raise a query that could lead to a complaint, we may keep the information we need about that complaint for up to six years after it is resolved. This helps us to respond to you and to regulators if needed.

4.5 If you receive marketing communications from us, we keep the information we use for this purpose for as long as you remain subscribed. If you unsubscribe, we will stop sending you marketing, but may keep a record of your contact details and your request so that we can make sure we respect your preferences in the future.

4.6 In some circumstances we may carefully anonymise your personal data so that it can no longer be associated with you, and we may use this anonymised information indefinitely without notifying you. We use this anonymised information to analyse our programmes and support other similar programmes around the world.


What are my rights under data protection laws?

5.1 You have various other rights under applicable data protection laws, including the right to:

5.1.1 access your personal data (also known as a “subject access request”);
5.1.2 correct incomplete or inaccurate data we hold about you;
5.1.3 ask us to erase the personal data we hold about you;
5.1.4 ask us to restrict our handling of your personal data;
5.1.5 ask us to transfer your personal data to a third party;
5.1.6 object to how we are using your personal data; and
5.1.7 withdraw your consent to us handling your personal data.

5.2 You also have the right to lodge a complaint with your relevant supervisory authority, you can find which one applies to you here.

5.3 Please keep in mind that privacy law is complicated, and these rights will not always be available to you all of the time.
